- Review and update nomination forms
October
- Distribute State nomination forms to the Section Presidents and Board Members
- Section Presidents will then distribute the forms to their chapters.
December
- Chapters submit nominations to Section Presidents
January
- Section Award Committees will have selected nominations and send all nomination forms (mailed or faxed), except for Life Membership which is due by the middle of March to the State Awards Chairperson.
- State Awards Chairperson will make copies of all nominations along with a ballot and either mail or give out at the State Board Meeting. Ballot should list nominees plus a “none of the above” category.
February
- At the State Board meeting, distribute packets of award nominees to Awards Committee (Section Presidents and a Past State President)
- Remind State Board and Section Presidents that Life Membership Awards need to be submitted by middle of March.
- End of February, send congratulations letter out to Excellence in Teaching and Excellence in Support Service Award recipients. Request photo to be use by State Conference Committee and by you to put together awards booklet/program. Recipients will be guest of CCAE at the awards presentation (breakfast, lunch, or dinner). Letters should also be sent to their administrators, chapter president, and section president.
- Notify State Executive Board and Executive Director of recipients.
March
- Sunday before Leg Day meet with the Awards Committee to vote on awards.
- Send letters of congratulations and regrets out to nominees. Request photo to be use by State Conference Committee and by you to put together awards booklet/program. Recipients will be guest of CCAE at the awards presentation (breakfast, lunch, or dinner). Letters should also be sent to their administrators, chapter president, and section president.
- Middle of March, send letters of congratulations to Life Membership Award recipients.
- Work with State Conference Awards Committee on awards booklet and program.
- Notify State Executive Board and Executive Director of recipients.
April
- Submit all information to State Conference Committee by April 1st.
- Make sure State Conference Committee has the correct spelling of all award recipients’ names. State Conference Committee is in charge of ordering and paying for the plaques and printing of the Awards Program brochure. The State Conference Committee is also in charge of one (1) complimentary meal ticket to be given to each award recipient.
- Prepare presentation that will be given at the State Conference. (Introduce each award winner and give a brief (15-30 second overview of the winner) The five big award winners, George C. Mann, Robert W. Rupert, Donald McCune, Award of Merit and Award of Citation, are asked to give a brief acceptance speech (about 2 minutes).
May
- State Conference-introduce recipients and distribute awards
- Submit written report, with expenses, to Board of Directors at first meeting following the annual State Conference.
Note: Awards have in the past been presented at a variety of functions during the conference. Scheduling is usually determined by conference committee. The Awards Chairperson will establish specific dates compatible with the above guidelines.
